Job Description (Total Position: 2)

Job Description and Responsibilities



  • Import Documentation & Compliance: Prepare and manage all import-related documents including pro-forma invoices, commercial invoices, packing lists, and delivery notes. Ensure adherence to regulatory and customs requirements.

  • Purchase Order Management: Issue and track purchase orders to both local and international vendors. Follow up on acknowledgments, expected delivery dates, and compliance with agreed terms.

  • ERP Inventory Integration: Ensure accurate entry of all incoming inventory, including new receipts and purchase order updates, into the ERP system. Maintain item master data integrity.

  • ERP Compliance Monitoring: Oversee the accurate and timely posting of receipts, deliveries, returns, and adjustments within the ERP system. Flag and resolve any inconsistencies or non-compliance issues.

  • Inbound Shipment Coordination: Liaise with customs agents, freight forwarders, and transporters to track inbound shipments and ensure timely clearance and delivery.

  • Inventory Planning: Collaborate with procurement and sales departments to maintain optimal stock levels, anticipate demand fluctuations, and plan future orders accordingly.

  • Returns & Claims Management: Coordinate the return of rejected or damaged items and ensure proper documentation and ERP entries. Support resolution of supplier claims and credit notes.

  • Data Accuracy & Audit Support: Conduct spot-checks and system audits to ensure data integrity in ERP. Support internal and external audits by providing timely documentation.

  • Process Improvement: Identify and suggest improvements to logistics and ERP workflows to enhance operational efficiency and accuracy.
